10 steps to help your organization secure personally identifiable information against loss or compromise Identify the PII your company stores. Find all the places PII is stored. Classify PII in terms of sensitivity. Delete old PII you no longer need. Establish an acceptable usage policy. Encrypt PII.
Encrypt PII Encrypting your PII at rest and in transit is a non-negotiable component of PII protection. Use strong encryption and key management and always make sure you that PII is encrypted before it is shared over an untrusted network or uploaded to the cloud.
Personal identification numbers: social security number (SSN), passport number, drivers license number, taxpayer identification number, patient identification number, financial account number, or credit card number. Personal address information: street address, or email address. Personal telephone numbers.
To collect that PII, their customers are likely sending it using multiple legacy methodsfax, FTP or email. Without encryption, these methods do not provide the data privacy, ownership and visibility needed to give customers a positive experience.
When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone. [See the instructions in the Handbook for Safeguarding Sensitive PII.]
DOL internal policy specifies the following security policies for the protection of PII and other sensitive data: It is the responsibility of the individual user to protect data to which they have access. Users must adhere to the rules of behavior defined in applicable Systems Security Plans, DOL and agency guidance.
Personal Identifiable Information (PII) is defined as: Any representation of information that permits the identity of an individual to whom the information applies to be reasonably inferred by either direct or indirect means.
Non-sensitive PII can be transmitted in unsecure form without causing harm to an individual. Sensitive PII must be transmitted and stored in secure form, for example, using encryption, because it could cause harm to an individual, if disclosed.
