The fact that you see the level option in the outline numbering tab of the paragraph style grayed out means that the level is already assigned in that menu. The level option in the paragraph style can be used to set additional styles for each level.
Outline Tools in Word To create a new outline, click the Home tab, and then click on the arrow next to Multilevel List under the Paragraph section. From the drop down menu, select any of the layouts from the List Library (hovering over the examples will show a preview).
How to Use Outline View in Word Click the View tab. Click the Outline button in the Views group.
To indent the first line of a paragraph, put your cursor at the beginning of the paragraph and press the tab key. When you press Enter to start the next paragraph, its first line will be indented.
Working in Outline view is particularly handy if you want to make global edits, get an overview of your presentation, change the sequence of bullets or slides, or apply formatting changes.
Outline Levels are set in the Paragraph properties. You can change the Outline Level for an individual paragraph but, more likely, youll change it in a style. In Style settings choose Format | Paragraph and change the Outline Level.
On the View tab, in the Presentation Views group, click Normal. In the pane that contains the Outline and Slides tabs, click the Outline tab. On the Outline tab, place the pointer, and then either paste your content or begin typing text.
Select the body text in Outline View and under Outlining, in Outline Tools click the Outline Level box and choose the heading level you want. Select the text in Outline View and make the changes you want.
CTRL-SPACE removes character-level formatting from the selected text (fonts, italics/bold, font size, etc.) but leaves paragraph formatting (indents, line spacing, etc.) intact. CTRL-Q leaves fonts and other character formatting intact but reverts paragraph-level formatting to Normal Style of current document.
