Retention tags allow users to tag their own mailbox folders and individual items for retention. Users no longer have to file items in managed folders provisioned by an administrator based on message retention requirements.
Default Retention Policy in Exchange Online The policy is automatically applied to new users in Exchange Online. In on-premises organizations, the policy is applied when you create an archive for the mailbox. You can change the retention policy applied to a user at any time.
The Default Retention Policy of Office 365 includes a tag that will transfer data items to the archive mailbox after two years. When a Retention Policy is applied to the Office 365 mailboxes, it will also apply to the online archive mailbox.
There are three different types of retention tags available: Default Policy Tag, Retention Policy Tag, and Personal Tag. Applies to untagged mailbox items, i.e., those that don't have a retention tag, directly or by inheritance from the folder.
Default policy tags – Applied automatically to entire mailbox. Retention policy tag – Applies automatically to a default folder. Personal tag – Manually to items and folders. Personal tags are available to Outlook web app users as a part of their retention policy.
Use the Exchange admin center to apply a retention policy to a single mailbox. Go to Recipients > Mailboxes. In User Mailbox, click Mailbox features. In the Retention policy list, select the policy you want to apply to the mailbox, and then click Save.
A retention policy might permanently delete messages, or it might move them to your Deleted Items folder. If you see a retention policy description that says Delete (Temporarily recoverable) you can use Recover deleted items to recover the messages.
