After users act on an email, they manually move it to the archive or use rules to move it automatically. With in-place archives enabled, users can declutter their inbox but still have online, indexed, and searchable archive emails available to them whenever they login.
In-Place Archiving in Exchange Server helps you regain control of your organizations messaging data by eliminating the need for personal store (. pst) files and allowing users to store messages in an archive mailbox. The archive mailbox is an additional mailbox thats enabled for a users primary mailbox.
The retention policy in Exchange specifies the deletion and archive rules that are applied to every mailbox. In Exchange, a default retention policy is created and applied automatically to all mailboxes.
The advantage of online archives (also known as In-Place archives), is that older emails are automatically archived in a separate archive mailbox. In this article, we are going to take a look at how to enable archive mailboxes, what the requirements are and how to use them.
Default Retention Policy in Exchange Online The policy is automatically applied to new users in Exchange Online. In on-premises organizations, the policy is applied when you create an archive for the mailbox. You can change the retention policy applied to a user at any time.
Depending on your email provider or companys policy, your deleted messages may be permanently purged from your trash folder automatically (often after 30 days). Your Archive folder is never automatically emptied. Any email you see in either the trash or archive folder can be moved back to your inbox folder.
There are two ways that you can do this. Messaging Retention Management (MRM), which helps you keep, archive, and delete information in exchange mailboxes. Office 365 Retention Labels and Retention Policies functionality that is available in the security and compliance center.
Archived emails are hidden from the main inbox in Gmail. If youre using the mobile Gmail app, navigate to the email you want to delete in the All mail category. Then, select and delete the email.
On your Android phone or tablet, open the Gmail app . Open an email message. In the top right, tap More . Tap Move to Inbox.
In Outlook In Outlook, right-click on the folder and select Properties. Select the AutoArchive tab and select Archive this folder using this settings. In Clean out items older than, enter 180 days, or whatever the desired amount of days/months/years may be. Select the Permanently delete old items option.
