A write-up is a form of progressive discipline that informs an employee that they need to change a certain aspect of their behavior at work. Progressive discipline is a process that provides disciplinary action at different levels depending on the nature and seriousness of a problem that arises.
Generally, an employee receives three write ups before termination. This number can be different depending on your companys policies. The termination also depends on the nature of the write-up.
Employers with federal contracts are required to maintain records relating to employment actions for a period of at least two years from the date of creation of the personnel record or the personnel action, and state laws may have even longer retention periods.
How to respond to a write-up at work Remain calm. Try to stay calm after receiving a write-up in the workplace. Meet with your manager. Schedule a meeting with your manager. Take notes and reflect. Keep detailed notes during the meeting with your manager and reflect on them afterwards. Ask how you can improve.
Employment Actions One of the reasons the human resources department exists is to maintain confidences about employment matters. Even without a dedicated HR department employment matters should be confidential. Its just not right to share personal information about employees with their coworkers.
A formal employee write-up will go in their employee record, which hopefully wont need to be referenced in the future. In the case of a wrongful termination lawsuit, you need to share any documentation you have about an employees performance, and you want things to stay business, not personal.
If the employer wants to maintain a record of the write-up but does not want it to have any impact on the employee or the employment relationship, it can leave the write-up in the employees personnel file and attach a note to it explaining that it has been effectively (though perhaps not physically) removed.
What should a write-up form contain? Employee name, position, and ID number. Type of warning. Offense committed. Description of the incident. Improvement plan. Consequences of a repeat offense. Area for manager and employee to sign and date.
