When the donation is received, revenue with donor restrictions must be recorded. It is very important to keep documentation of the donor restrictions and to track these restrictions either in the general ledger or other software, such as Microsoft Excel.
Include your restricted funds under revenue, and specify them as permanently or temporarily restricted. Then, tally everything up by subtracting your liabilities from your gross assets to arrive at your net assets.
With the restricted fund method, journal entries show the transfer of funds from one asset account to another. For example, suppose you withdraw $10,000 from your businesss bank account and deposit it into a different account classified as a restricted fund thats reserved for equipment purchases only.
Like any transaction, recording a donated asset requires making two entries. For a generalized donated asset transaction, use the following entries: Debit an asset account (cash, inventory, buildings, land, etc.) Credit contribution revenue (for a for-profit company) or contributions (for a nonprofit company).
Donation expense journal entry Set up the charitable organization as a new vendor. Create an expense account dedicated to donations. Record the cash donation as a check or bill in the name of the charity.
Temporary Restricted Accounts - Non-profit Click the Edit menu, then choose Preferences. Choose Accounting, then go to the Company Preferences tab. Select the Use class tracking for transactions checkbox. If you want a reminder when you havent assigned a class, select the Prompt to assign classes checkbox. Press OK.
Income Statement The most effective practice is to display grants and contributions with donor restrictions in a separate column. Using this two-column approach works for both the income statement and the balance sheet.
