A Form W2 is issued by an employer to an employee if the employer paid at least $600 in cash or cash equivalents to the employee during the year, including taxes withheld for Social Security and Medicare. Each box on the form, such as Box A (social security number) and Box B (employer identification number), holds important information that should be checked for accuracy. The Control Number in Box D is an internal number used by the employer and may be left blank. Understanding each item on the Form W2 is essential for accurate tax reporting.

A W-2 form is a multipart form: Copy A goes to the Social Security Administration. Copy 1 is for the city, state, or locality. Copy B is for filing with the employees federal tax return. Copy C is for the employees records.
Copy A: Mail or e-file to the SSA, along with Form W-3. Copy B: Send this copy to your employee. The employee will file this copy with their federal income tax return. Copy C: Send this to the employee for their records.
You can print Forms W-2 on plain 8-1/2 by 11 paper. When you print on plain paper, the employees address is visible through a single-window, standard No. 10 business envelope (4-1/8 by 9-1/2, left-aligned window).
Send Copy 1, if applicable, to your state, city, or local tax department. Contact that state, city, or local tax department for requirements and transmittal information. You should retain the employer copy, Copy D, for 4 years. You must furnish Copies B, C, and 2 of Form W-2 to your employees by January 31, 2023.

You can print Forms W-2 on plain 8-1/2 by 11 paper. When you print on plain paper, the employees address is visible through a single-window, standard No. 10 business envelope (4-1/8 by 9-1/2, left-aligned window).
If its a photocopy of the original W-2 you can attach it to your tax return, as long as its a clear readable copy. Make sure you keep a copy for yourself. Dont send the IRS your only copy. Sometimes they lose things.
If you simply forgot to mail a copy of the W-2 with your return but accounted for the income, you dont need to file an amendment, and you wont face any penalty. If you forgot to include the income, you can remedy the situation with an amended return, though you may owe a small penalty or interest.
Preparing Form W-2 Type all entries using black ink and, if possible, in a 12-point Courier font. Entries are read by machine. Handwritten, script, or italicized fonts and entries made in other than black ink cant be read.
