Alright, so Im going to introduce ten principles for copy editing, explore how to determine the scope of a copy edit, as well as effective processes for both copy editing and proofreading, and finally explain how and when to mark copy. Lets begin with principles. Most of what Ill say about copy editors in this lecture applies to proof readers, as well. sp: Spelling (Correct a misspelled word or spell out an abbreviation.)
Typically, the abbreviation SP after a word - or sometimes just in the margin - stands for SPELLING. This means that the word that has been marked as SP has a spelling mistake. This can vary from a simple typing mistake, to an incorrect spelling or using the wrong form of a word.
In hard copy proofreading, corrections typically appear in the left or right margins beside the line containing the error. A mark is also placed in the text to indicate where the correction needs to be made. A caret (^) indicates an addition, and a line through the text indicates a deletion or a replacement.
English proofreading of text written in English will focus on common errors made in English writing, such as the confusion of they're/their/there or misuse of to vs. too. Translation proofreading is the proofreading of translated texts and is also referred to sometimes as bilingual proofreading.
What are proofreading marks? In the UK, the most up-to-date BSi standard for UK proofreading marks* is BS 5261C (2005). The marks fall into three broad categories. The most common marks are those used to insert, substitute or delete letters or punctuation marks that are missing or incorrect.
Marks come in two varieties, abbreviations and abstract symbols. These are usually handwritten on the paper containing the text. Symbols are interleaved in the text, while abbreviations may be placed in a margin with an arrow pointing to the problematic text.
Copy editing makes sure a piece of writing is accurate, clear and correct. It's the step that gets a text ready to publish. Specifically, depending on the publication, it involves most or all of the following: Checking the facts (names, dates, times, places, past events, etc.).
SPELLING ERRORS: Misspelled words will often be circled and/or marked with the letters SP to indicate the spelling error. Remember that it is the editor's responsibility to indicate words that may be misspelled, but it is the writer's responsibility to confirm correct spelling of a word by consulting a dictionary.
A caret shows where an additional or corrected or substituted letter, word, or phrase is to be inserted in or above the line. A horizontal line delete mark is made through a phrase, sentence, or paragraph.
