Emailing a landlord Keep your email concise and professional. Create a template message you are satisfied with, then simply update it with details from other rentals you are interested in and reuse it.
Even if you have had a conversation with your landlord about moving out at the end of your lease, you should still put your notice to vacate in writing and send it to them. This is to avoid any misunderstandings; it is easy to dispute a conversation between two people, but not a letter shared between the same parties.
Proper notice is required in written form, to the end of the term or lease, giving a notice period of at least 60 days. Text communication would not be deemed legal notice.
For example, a tenant can mail their one-month notice to move out, but should never send it using text or social media messaging.
Your notice must be in writing, so avoid email, text messaging, and social media. Instead, give your landlord a signed and dated letter with your name, signature, address, and move-out date, as set out in section 52 of the RTA. See TRACs template letter, Notice to Move Out.
Template: 30 Day Notice to Vacate I am writing to inform you I will be vacating my rental unit on [date you intend to vacate]. This letter meets the 30-day notice requirement outlined in my lease agreement. I will return my keys to [property managers office or other address] on [date you intend to vacate].
Legal considerations: While a text message can initiate the resignation process, it may not be sufficient as a formal record or proof of your intent to resign. Many employers require a written resignation letter or email as a legal and administrative requirement.
Although the RTA requires landlords to prepare tenancy agreements in writing, it also says that a tenancy agreement can be oral, express or implied. This means that you and your landlord do not have to sign an agreement to establish a legal tenancy in BC.
