One metric that employers can follow to calculate PTO is to divide the annual PTO hours by annual work hours. For example, if an hourly employee earns 80 hours of PTO each year and works 40 hours a week, or 2,080 hours per year, divide 80 by 2,080.
For every day an employee works, they will receive 0.32 hours of PTO.
Instead, they earn paid time off as they work. For example, an employee who receives 13 days of PTO each year will earn 1 day (8 hours) of PTO every 4 weeks (160 hours) of work.
Employees accrue a specific amount of hours based on the number of hours worked or the passage of time (i.e. every 2 weeks). For instance, a policy that offers employees an accrual of 2.5 hours of PTO for every 40 hours worked would translate to 130 hours (roughly 16 days) of annual PTO.
