Best Practices for PII Security: 6 Simple Steps Identify the PII your organization uses. Locate where PII is stored, and where it moves. Classify PII in terms of sensitivity. Govern access to PII and establish an acceptable usage policy. Implement an encryption solution. Back up your solution with training.
When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone. [See the instructions in the Handbook for Safeguarding Sensitive PII.]
-- Privacy Sensitive if the email contains PII, and place in the body of the email the following warning, This email may contain information subject to the Privacy Act of 1974 and is For Official Use Only. Any misuse or unauthorized disclosure may result in both civil and criminal penalties.
If the body of the email contains PII, the top and bottom of the email must include the marking CUI, and it should include a CUI indicator block. Must be digitally signed and encrypted. (Note: Digitally signing an email is NOT the same as appending a signature block to the bottom of the outgoing message contents.)
Further, PII is defined as information: (i) that directly identifies an individual (e.g., name, address, social security number or other identifying number or code, telephone number, email address, etc.) or (ii) by which an agency intends to identify specific individuals in conjunction with other data elements, i.e.,
Hashing. Although subject to some debate about its core efficacy, a hashing function is a common and well-accepted method for masking PII. Hashing is essentially a (theoretically) non-reversible encryption, where a one-time key is used to transform a piece of data into a complex, usually 256 digit, code.
Personally Identifiable Information (PII) Masking requirements is part of privacy by design requirements. PII functionality is to restrict unauthorized access by the users to personal information of customer by masking the PII information.
PII masking is the process of hiding any personally identifiable information in order to protect individual identities and comply with data privacy laws.
