However the image compression settings arent the greatest and it takes several steps. Ill show you how to build something in Automator that could do it quickly and also allow you to customize the compression. So here Ive got a sample PDF on my desktop. I can open it up and you can see its just a sample electric bill. I scanned it in using my iPhone. The file size is a little bit bigger than I like. Im going to do Command i to get information and see that its 6.8 MB. It can definitely be smaller. So lets go and open it

This is what makes the file so large: Excel is picking up a lot of empty cells and thinks theres data in them, which then it tries to save into the XLSX file on disk, and because it needs to keep references to all those hundreds or thousands of cells, the file size gets overblown.
If your excel file is large (2 mb or larger) you will notice longer loading time, reduced performance, unresponsiveness, etc. All this can be avoided if you keep your file size reasonable.

With your file open in your Microsoft Office application, select the picture or pictures that you want to compress. Under Picture Tools, on the Format tab, in the Adjust group, click Compress Pictures.
Its said that unstable, crashing, or freezing workbooks only tend to happen when your spreadsheets have grown to at least 20MB in size, given how much processing power modern computers have. Hence, you should consider other factors that crash Excel when the file youre working on is far less than 20MB in size.
