To reduce Excel file size, remove unnecessary worksheets, data, formulas, and formatting. Additionally, convert formulas to values, remove Pivot Cache, and save in binary format (. xlsb). Compressing the file into a zip archive can also help.
You can reduce your file size by saving your spreadsheet as a binary workbook (.xslb) instead of the default format (.xslx). The default format is XML based, which is important if youre using your data with third-party programs because XML is an open standard.
Look for folders that are too large The largest folders indicate which of the common problems are affecting your file: xl/media = Pictures. xl/worksheets = Excess formatting OR Big data. xl/pivotCache = Pivot table cache.
The basics of cleaning your data Insert a new column (B) next to the original column (A) that needs cleaning. Add a formula that will transform the data at the top of the new column (B). Fill down the formula in the new column (B). Select the new column (B), copy it, and then paste as values into the new column (B).
Too much formatting can add up and increase your file size. Large Amount of Data: This is one of the biggest reasons why your Excel files become large and start crashing. Every data point adds to your file size, whether its a text string, a formula, or the number of rows.
If you have worksheets with data that youre not usingand that dont contain any formulas youre usingdelete them from the spreadsheet. The more data points you have in your workbook, the larger your file size will be. Removing unused data will reduce your file size.
On the Inquire tab, click Clean Excess Cell Formatting. Choose whether to clean only the active worksheet or all worksheets. After excess formatting has been cleared, click Yes to save changes to the sheets or No to cancel.
