Introduction. Office 365 retention policies can be used to automatically delete e-mail older than a specified time. Default retention policies (which cant be modified by users) are applied against the Deleted Items and Junk Mail folders to automatically remove items older than 30 days from each folder.
To purge all messages in a folder, right-click on the folder, and click Purge Messages. To set messages in a folder to automatically be purged after a certain amount of time, right-click on the folder, and click Auto Purge.
An email retention policy is a company policy that defines how long email messages have to be retained before they are permanently deleted. These policies are based on a set of specific government regulations which differ across different industries.
After youve created and refined a Content search to return the messages that you want to remove, the final step is to run the New-ComplianceSearchAction -Purge command in Security Compliance PowerShell to delete the message. You can soft- or hard-delete the message.
Your Deleted Items folder and Junk Mail folder have a 30 day retention policy applied to them. This means that after 30 days, an item is automatically moved to the Deletions folder.
Run the command: Connect-IPPSSession and sign in as an account with global/exchange online admin rights. Run the command: New-ComplianceSearchAction -SearchName (search name from step 4) -Purge -PurgeType HardDelete. The emails are removed from the specified mailboxes permanently.
After youve created and refined a Compliance Search to return the message that you want to remove, the final step is to run the New-ComplianceSearchAction cmdlet to delete the message. Deleted messages are moved to a users Recoverable Items folder.
Unfortunately, messages to recipients outside your organization or on-premises cant be recalled. Due to privacy and legal considerations, the recall feature in Outlook is restricted to recipients within the organization, ensuring a secure and compliant email environment.
