If you have already issued the invoice but the customer has not paid, send a friendly email or make a polite phone call explaining the mistake, and then issue a new invoice. If the customer has already paid, make a correction adjustment on a future invoice, or issue another invoice or credit correcting the mistake.
To correct the matter, you must issue a credit note and a revised invoice. If your VAT invoice shows a lower amount of VAT than is correct, you must issue a credit note for the full value of the invoice. A revised invoice must then be issued to show the correct VAT.
An invalid invoice is one which fails to contain all the information requested and/or is not submitted to the correct payment address (electronic or postal).
If you need to report a VAT return error to HMRC because it doesnt fit the above criteria, you should fill out form VAT652 and send it to HMRC. You can download the form online through the above link or you can call HMRC on 0300 200 3700 and ask them to send you a form in the post.
If an incorrect invoice has been sent, the business must issue a cancellation invoice with its own, new invoice number. This will include a negative invoice amount, as well as the original invoice number and the date it was issued. Then, a correct invoice can be raised with a different invoice number.
The general rule is that you can refuse to pay an invoice if the goods or services that you received are faulty, havent been delivered or not what you agreed on.
4.1 Details to include on a VAT invoice the date of issue of the document (where different to the time of supply) the name, address and VAT registration number of the supplier. the name and address of the person to whom the goods or services are supplied.
If you realise your invoice is incorrect before youve actually sent it to your customer, then the problem can easily be solved. You can simply edit the invoice and fix the error. An invoice is not considered issued if it hasnt yet been delivered to the addressee.
If a business shows the wrong amount of VAT on an invoice, it is responsible for accounting for the higher of the amount actually due or the amount shown on the invoice.
you can correct the error by amending your records. Simply keep a clear note to show the reason for the error, and include the correct VAT figure in your VAT account for the same period. The correct VAT figure will then work its way through to your VAT Return, as normal.
