Sometimes you're gonna have to fill this out on behalf of yourself, and sometimes you're gonna have to request that somebody else fill out this form for you. And really the whole purpose of this form is pretty simple. It's just so that one party can get the information they need from the other party in order to file a specific form with IRS. So for example, whenever a property is being bought or sold and the closer needs to file a form called the 1099S, in order to get that information, they could get it from this form if it's filled out and signed and dated by the appropriate party. When should you update or send out a new W-9? You must send a new W-9 to active customers or clients whenever your information (name, business name, address, or Social Security number) changes.
This should be your full name. It should match the name on your individual tax return. If you have a business name, trade name, DBA name or disregarded entity name, fill it in here. If you do not have a business, you can leave this line blank.
Businesses should receive a W9 from vendors when the vendor is new and again whenever the suppliers Form W-9 information changes. Examples of changing information include changes in vendor name (business name or individual legal name, if applicable), address, and taxpayer identification number (TIN).
You can enter your business, trade or doing business as (DBA) on line 2. If completing the form as a Partnership, multiple-member LLC, C Corporation or S Corporation, enter the name on line 1 as shown on the corresponding tax return as well as the business, trade or DBA name on line 2.
