Can you amend an invoice and is it legal? Generally, it is legal to amend an invoice that is missing information or includes an error. However, you should never delete an invoice if this happens. It is important for auditing reasons that you hold onto records, even if they are incomplete or incorrect.
In cases where you want to delete or amend an invoice, a credit note will usually suffice as the solution. A credit note allows you to effectively - and legally - cancel an invoice. Its required by law that you always keep a copy of all invoices you issue for control purposes.
The only regulations placing a time limit on collecting a genuine debt is the Limitation Act 1980. Although you have the right to invoice, where the invoice is over 6 months old we would recommend to include a covering letter apologising for the delay or simply calling your customer beforehand to discuss the matter.
Accounts Payable invoices can be adjusted if they are entered with the incorrect amounts, dates, General Ledger distributions, etc. There are different resolution scenarios depending on whether the invoice has been posted, paid, or both.
If the customer comes back to your business with the incorrect invoice, you can correct the error by hand with a note directly on the original invoice. However, you must be sure to sign, date and stamp (if you have a company stamp) the invoice.
You either manually change the due date as you create invoices; or, you manually select from the Terms dropdown on that invoice, to let the program set the due date; or, you assign a Customer their default terms, and the program does all of this for you.
Generally speaking, you should never delete an invoice. In cases where you want to delete or amend an invoice, a credit note will usually suffice as the solution. A credit note allows you to effectively - and legally - cancel an invoice.
Add the clients details, including company name, address, and contact information. Number and date the document. Add a description of the work carried out, the number of hours worked and the hourly rate you are charging. If there are different types of work or different rates, use separate lines.
