BE DIRECT. Being direct and not beating around the bush is key. Be completely up front with your photographer about what it is you do not like about your photos. Clear communication like this can help you to get to a resolution quicker!
State That You Are Declining the Offer. A couple of polite examples include: Unfortunately, I am unable to accept this offer. We regret to inform you that we cannot accept your offer. I will not be able to accept your offer at this time.
Hi [name], Thank you so much for taking the time to docHub out to me and for your interest in our business. We really appreciate you putting your trust in our services. Unfortunately, at this time, we are not able to fulfil your request for you [insert reason: time restraints, not a good fit for the firm, etc].
Its not unheard of though for a photographer to provide a full or partial refund especially if there is a lot of time between your cancellation and the wedding day. But for the most part, chalk this up as the cost of not being thorough in your photographer search and hiring.
The art of politely decline engagements you dont wish to attend without offending people. Practice saying no. Keep it simple. Delay if youre unsure. Be gracious. Offer an alternative (if you want) Stay firm. Remember: Its OK to say no.
Hopefully, you have a signed contract that you utilized to start the photographer/client relationship. Thereby, it is best practice to end the relationship in writing. You can use a document entitled Mutual Release and Rescission of Contract or a document simply entitled Cancellation of Contract.
You do not have to be rude or make it a personal attack: simply explain calmly and clearly that you are unable to offer your services, and that you hope they have luck with finding another photographer who can take care of their needs. This is best done as early in the process as possible.
A cancellation clause states that in the unlikely event your client cancels the wedding or portrait session, the retainer is non-refundable. It further explains that if they cancel a wedding/session within x days, the full amount is due.
