Is it safe to send PII via email? No, you should never send PII over email. However, if you must send PII over email, it needs to be encrypted and certain security protocols must be met to ensure that if its intercepted, the PII wont be readable.
Sharing Sensitive PII: It is important to protect Sensitive PII at all times. Share it only with people who have an official need to know. Emailing to the wrong recipient or personal accounts: Never email Sensitive PII to a personal email account.
The DHS Privacy Office strongly recommends that you redact, password- protect, or encrypt Sensitive PII you email within DHS. Outside DHS: Email Sensitive PII within an encrypted attachment with the password provided separately by phone, email, or in person.
Sensitive PII (SPII) is Personally Identifiable Information, which if lost, compromised, or disclosed without authorization, could result in substantial harm, embarrassment, inconvenience, or unfairness to an individual.
Minimizing proliferation of Sensitive PII helps to keep it more secure and reduces the risk of a privacy incident. Delete electronic files or destroy paper files (via shredder) when Sensitive PII is no longer needed, including information stored on backup servers, network drives and/or your desktop.
Recipient external to EMU: Where possible, the file/document containing the PII should be password protected. The sender should send two emails to the recipient: one with the password protected file attached; the other with the password to be used to access the file. Do not send both items in a single email.

Sensitive PII in hard copy or stored on external media must be kept in a locked compartment, such as filing cabinet or desk drawer.
