The budget should list all cost details for the year or another appropriate period of time. It should include any applicable salaries wages, fringe benefits, services, supplies, equipment, publications, travel, other direct expenses, and any facility and administrative costs.
Explain why items are essential in relation to the aims and methodology of the project as well as meeting the goals of the project. Explain the line items. Do not merely restate the proposed expenditure. Provide detail sufficient to justify the rationale for acquiring the item under the proposed project.
The budget justification must include a brief description of and justification for the supplies required to perform the work. These costs should be listed by major supply categories, e.g., office supplies, computer supplies, and monitoring supplies, and include the estimated costs by category.
Most budget proposals include the following elements: Project name and goal. Budget summary. Breakdown of all costs in phases, tasks, and activities. Project timeline. Project budget tracking. Define the overall project objectives and scope. Summarize the budget requirements. Create a cost breakdown.
A justification validates the expenses and gives you another opportunity to sell your project. In the simplest of terms, a budget justification is a narrative explanation of the budget basically, you are selling your idea to a sponsor for a price.
A proposal budget is composed of two different pieces of information: a budget table, and a budget narrative. Funders can request these items in many different ways-- or provide no guidelines at all. There are two general forms: (1) Combined Table/Narrative, and (2) Separate Table/Narrative.
The budget justification should: Provide a general description of the line item; Explain how the item relates to the activities outlined in the work plan; Verify the cost of line items by describing how they were arithmetically determined. Reflect the itemized budget, presenting justifications in the same order.
In preparing a cost justification you should remember to only promise what you can deliver and only show savings for the amount you need. As well, consider ease of implementation, cash requirements, use of existing resources, and probability of success.
