Here are the common steps, in order, that are often included when writing a formal grant proposal: Include a cover letter. Include an executive summary. Describe a statement of need. List objectives and goals. Describe methods and strategies. Detail a plan of evaluation. Include a budget. Detail organizational information.
When not specified, its best to stick with a standard font that everyone is familiar with so its easy to read. The most common proposal fonts are Arial (or some variation, such as Arial Narrow) or Times New Roman.
First and foremost, your proposal needs to be readable. Avoid using cursive or hard-to-read fonts, too much color, underlining of non-links, small spacing, or other distractions. While few donors have strict guidelines on formatting, 12 pt. font in Arial or Times New Roman with 1.5 spacing is fairly standard.
Assuming the proposal is letters on paper, something like 11 or 12 point type on 13, 14 or 15 point leading (line spacing), with a full line space between paragraphs, should work fine. Liberal left and right margins also help.
To increase the readability of your proposal and to prevent it from looking too busy, its best to use no more than three fonts in your proposal template. A suggested list is: Arial for headings (e.g., font size 16 for Heading 1 and size 13 for Heading 2) Times New Roman 12 point for body text.
Be brief, concise, and clear. If any required information or data is omitted, explain why. Make sure the information provided in each table, chart, attachment, etc., is consistent with the proposal narrative and information in other tables.
Title should be set in upper case, bold, 14-font size. Block quotations and footnotes should be set in 10-font size. The abstract, acknowledgements, and the main body of the essay should be set in 12-font size. If there is a dedication, it should be in upper case, bold, 12-font size.
