Our word of the day is Pro Forma Invoice An invoice presented by one company to another for payment for goods prior to their dispatch. This method of invoicing is to ensure payment is received and is often the case when two companies have not traded before. If future trading is anticipated it will then be usual for an account to be set up for the purchasing company with credit facilities. A pro forma invoice is an abridged or estimated invoice sent by a seller to a buyer in advance of a shipment or delivery of goods. It notes the kind and quantity of goods, their value, and other important information such as weight and transportation charges. Pro forma invoices are commonly used as preliminary invoices with a quotation, or for customs purposes in importation. They differ from a normal invoice in not being a demand or request for payment.

What should a pro forma invoice look like? A pro forma invoice looks like a regular invoice but must be labeled pro forma invoice. It includes all the usual invoice information such as details of the buyer and seller, a list of products and prices, and terms of the sale.
High-level proforma information including the proforma invoice number, billing account number, proforma creation date, and if applicable, the purchase order number. Total Due amount can be found at a glance. Proforma invoices do not have a Payment Due date as they are a preliminary bill of sale created upon request.
