Follow these eight easy steps to make sure you get it right and define your write-up format. Dont do it when youre angry. Document the problem. Use company policies to back you up. While giving negative reviews is difficult, dont beat around the bush and get straight to the point. However, instead of directly saying what isnt going well, try adopting the sandwich approach. Start with a positive comment, add areas of improvement and end it with some suggestions and action items.
Begin sentences with we and I, not you. For example, say things like, I feel like you dont respect the other employees that work here because and We noticed that youve been critical of your coworkers. Avoid accusatory statements like, You are failing to meet meeting attendance expectations.
Then write down the actual behaviors and actions that are unacceptable. Be sure to record the non-verbal behaviors along with the verbalmake note of rolling eyes, arms crossed tightly against chest, slow negative head shakes. Keep track of how often the behaviors occur, with times, dates and places.
It should detail their accomplishments as well as any areas for improvement. A performance review statement should also provide clear examples to demonstrate the points being made, and offer helpful feedback on how the employee can progress.
Dont give unfounded feedback without facts. If you are telling your employee that they need to work on their conflict resolution skills, you must provide an example of what they said/did that wasnt effective. The same is true when giving positive feedback. Dont tell them they manage their time well; give examples.
