Best Practices for PII Security: 6 Simple Steps Identify the PII your organization uses. Locate where PII is stored, and where it moves. Classify PII in terms of sensitivity. Govern access to PII and establish an acceptable usage policy. Implement an encryption solution. Back up your solution with training.
When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone.
-- Privacy Sensitive if the email contains PII, and place in the body of the email the following warning, This email may contain information subject to the Privacy Act of 1974 and is For Official Use Only. Any misuse or unauthorized disclosure may result in both civil and criminal penalties.
If the body of the email contains PII, the top and bottom of the email must include the marking CUI, and it should include a CUI indicator block. Must be digitally signed and encrypted. (Note: Digitally signing an email is NOT the same as appending a signature block to the bottom of the outgoing message contents.)
Encrypt Sensitive PII stored on CDs, DVDs, hard drives, floppy disks, and other removable media prior to mailing or sharing. Also, ensure that the media is properly labeled. Always verify that the recipient received the information. Note that FOIA requests may require different handling.
The sender should send two emails to the recipient: one with the password protected file attached; the other with the password to be used to access the file. Do not send both items in a single email.
Data Encryption Encrypt PII both at rest and in transit to protect it from unauthorized access. Utilize strong encryption algorithms and secure key management practices to ensure the confidentiality and integrity of sensitive data.
If you are sending PII, include CUI in the subject of the email. following CUI. Also include a CUI indicator block after the body of the email.
