The W-9 form is a one-page document used to request taxpayer identification number and certification, and it is available as a fillable PDF. Katie notes that sole proprietors, small business owners, independent contractors, and freelancers commonly receive this form from companies they work with. The information provided on the W-9 will later be used to complete Form 1099, which is sent to the address specified on the W-9.

A W-9, Request for Taxpayer Identification Number and Certification is the form which Americans use to give their Social Security Number (SSN) and other identifying information to a new employer. In Canada, Form TD1, Personal Tax Credits Return is a combination of the US equivalent to the W-9 and the W-4 form.
The updated Form W-9 has a March 2024 revision date. Withholding agents should use of the new form as soon as possible, especially if the withholding agent is a flow-through entity that will need to determine its Schedule K-2/K-3 reporting requirements (discussed below).

To update your W9 information, heres how: Via the Expense tab. Go to Expenses. Choose the Vendors tab. Look for your name. Click Edit. Edit the necessary information. Via the Workers tab. Click Workers. Select the Contractors tab. Find your contractors name. Click the Pencil Icon in the Personal Details window.
