hey its Candace and in todays QuickBooks tips and tricks were going to talk about gift certificates how do you set them up and what do you do with them so the first step is going into your items list because when you sell a gift certificate it is not considered income to you until you provide the product or service that the gift certificate redeems right so the moment you sell the gift certificate its actually considered a liability to you so what youre going to do is youre going to go under list items list and youre going to go to the bottom and youre going to create a new item and that item is going to be an other charge you can choose an name or a number that you give all of your items in this example I just did gift certificate to keep it simple Im not going to worry about a description if you want to put a description in there you can that will populate on the invoice and then Im going to leave the amount as zero unless you always sell the gift certificate for a specific

What is the Accounting for Gift Cards? The essential accounting for gift cards is for the issuer to initially record them as a liability, and then as sales after the card holders use the related funds.
Accounting for the Sale of Gift Certificates The sale of a gift certificate should be recorded with a debit to Cash and a credit to a liability account such as Gift Certificates Outstanding. Note that revenue is not recorded at this point.
Accrual-based accounting tracks a sale the day a client purchases something from your business. Purchases made on account, with a gift card, will all show on the day the client redeems the balance, not on the day that the account credit or gift card was purchased.
Revenue recognition rules for gift cards The cash received from the sale is paid upfront but does not qualify for revenue recognition as no goods or services have been exchanged. Gift card purchases are recorded as deferred revenue and subsequently recognized as revenue as the gift card is redeemed in the future.
When you receive the $50 gift card: credit $50 to an income account, and debit $50 to an asset account (e.g. gift cards). i.e. increase the income account by $50, and increase the asset account by $50.
While you should always confirm with your accountant, generally speaking, Gift Card and Gift Certificate programs should be handled as an Other Current Liability on your Balance Sheet. The thought process being that, when you sell a Gift Card or Gift Certificate, you have not actually earned any current period income.
