The amendment should be clear and concise. It should state the changes that are being made and the effective date of the changes. All parties should sign the amendment, ensuring that everyone has agreed that these changes have been made. You could use a template for your contract amendments.
Your photographer contract should identify the fees agreed between the two parties and what those fees cover. It should state whether any deposit is required and how much that is. It should also clearly state when full payment or balance is expected by and whether there are any conditions attached to that payment.
You can handwrite minor modifications to a contract onto the document. Clearly write the changes, and sign your initials next to each change, before signing the entire document. If the other party agrees to the changes, the other party will also initial the changes and sign the document.
Because a photography contract starts in writing, it should also end in writing. Proper contract cancellation should be well-documented. Both parties should specify the reason for the cancellation and when it took place.
You should communicate with your client as soon as possible, preferably in writing, about the reason, scope, and impact of the proposed modification. You should also listen to their concerns and expectations, and explain how the modification will affect the project deliverables, timeline, and budget.
You need a contract amendment whenever you or the other party wants to change the terms of the agreement. Once youve discussed the change with the other party, one of you will draft the changes, and both will sign them.
Let them know that youre available if they want to discuss more things, but move along quickly and put your energy into the work you already have or finding new clients. There is no sense harping on it or looking desperate to them. You need to present yourself as someone that will be fine with or without them.
