The accepted way to record in-kind donations is to set up a separate revenue account but the expense side of the transaction should be recorded in its functional expense account. For example, revenue would be recorded as Gifts In-Kind Services, and the expense would be recorded as Professional Services.
Cash donations are considered income when it comes to financial statements like your statement of cash flows. Their categorization, restricted or unrestricted, depends upon whether conditions were placed on the usage of the gift.
For recording the giving of donations, make the account type Operating Expense and name it Donations Given, or something similar.
When youre writing your update, be as specific as possible. Tell your donors exactly how much money youve raised. Also, tell them how youre spending it and what the impact of their donation has been. The more specific you are, the more engaged your donors will be.
Accounting for donations works the same as any other transaction. Even though you are donating and not making a profit, you still need to know how to debit and credit the appropriate accounts. Debits increase asset and expense accounts and decrease equity, liability, and revenue accounts.
Generally, you can claim part or all of the eligible amount of your gifts, up to the limit of 75% of your net income for the year. You may be able to increase this limit if you give capital property (including depreciable property). For more details, see Calculating your increased donation limit.
Non-cash items are furniture, clothing, home appliances, sporting goods, artwork and any item you contribute other than cash, checks, or by credit card. Generally, you can deduct your cash contributions and the Fair Market Value (FMV) of most property you donate to a qualified charitable organization.
