A press release must always be written in the third person, whether singular or plural it or they, as appropriate. There are no exceptions never, ever use I or we. Why? Two reasons: to maintain a neutral and impartial tone, and to make it easier for journalists to use your copy without changes.
The average headline length is 88-characters. Always keep the headline concise with the most important keywords and phrases in the first 55- to 70-character space. Many press release feeds and even search engine results cut off headlines at this spot.
Within the body of your release, include one to three quotes. People quoted may include a local leader, member, or outside validator (a prominent member of the community, for example). Reporters may use these quotes directly. Ensure that the quotes sound natural as if they were actually spoken by saying them aloud.
Embedding a quotation means that the quotation is included in a single sentence with many of your own words and commentary. The most sophisticated embedded quotations have commentary before and after the words you are quoting (see example #3).
Best Practices for Presenting Quotes in Press Releases Write Shorter, Punchier Quotes. When it comes to sound bites, one sentence is usually enough, two is okay, and three is too long, Ann recommends. Reduce the Number of Quotes. Humanize Your Quotes. Display Creativity in Your Quotes.
A good quote can make all the difference in a press release, so make it count! Remember that your quote should always add value to your content. Make it memorable and relatable, so always use good quotes for a standout press release.
The final thing I would say is that every story is different, and there is no science for how many people you should quote. Interview people until you feel like you have enough information to write a story from, and quote whoever adds something to the story.
Words like commented, stated and says are fine for fluffy features, but, since most hard news is written in the past tense, quotes should be finite the speaker said these words. Notice I left the quotation mark off the end of the last paragraph.
