An RFQ is a key document used to invite and screen vendors. A request for a quote is a formal process that companies use when they want to order products or services for their projects. It is a business document that invites vendors to provide their best prices and payment terms.
There are three types of RFQs: standard, catalog, and bid. The differences between them lie in the type and number of products to order. Using a catalog RFQ, you can purchase high-volume items and make orders on a regular basis.
Your RFQ should include the following: Specific parts or products, with detailed descriptions. Delivery requirements. Product quantity. Payment terms. Selection criteria. RFQ timeline and review process. Terms and conditions. Submission requirements.
The buyer builds the RFQ, usually on a simple template that states the item description, quantity needed, and any other limitations, such as the deadline for the submission of quotes. The RFQ is sent out to a select number of sellers (usually at least three).
