How To Document Cash Donations. Your nonprofit treasurer should record cash donations in your statement of activities, which is a component of your complete financial statement that provides a net change in assets over the course of the year. In other words, it is a picture of how profitable your nonprofit agency is.
Cash Contributions A bank record that shows the name of the qualified organization, the date of the contribution, and the amount of the contribution. Bank records may include: a canceled check, a bank or credit union statement or a credit card statement.
For contributions of cash, check, or other monetary gift (regardless of amount), you must maintain a record of the contribution: a bank record or a written communication from the qualified organization containing the name of the organization, the amount, and the date of the contribution.
When you make a donation of your own products or inventory, keep in mind that you are giving away a product, not selling it. To record this type of donation, debit your Donation account and credit your Purchases account for the original cost of goods.
Like any transaction, recording a donated asset requires making two entries. For a generalized donated asset transaction, use the following entries: Debit an asset account (cash, inventory, buildings, land, etc.) Credit contribution revenue (for a for-profit company) or contributions (for a nonprofit company).
The accepted way to record in-kind donations is to set up a separate revenue account but the expense side of the transaction should be recorded in its functional expense account. For example, revenue would be recorded as Gifts In-Kind Services, and the expense would be recorded as Professional Services.
Deduct from your profits Enter the total value of your donations in the Qualifying donations box of the Deductions and Reliefs section of your tax return. There are special rules for working out the value of your donation if you give or sell land, property or shares to a charity.
Keep track of all your taxable donations and itemize them on Schedule A (Form 1040). Cash or property donations of $250 or more require a receipt from the charity. Fill out and attach Form 8283, Noncash Charitable Contributions, to your tax return if you have over $500 in donated property or goods.
