Absence policy should be fair, consistent, and able take into account sickness and other unforeseen circumstances that may prompt employees to miss work. A typical staff absence policy will usually outline the procedure an employee is expected to follow when he or she must miss work.
On the first day of absence the employee must notify their line manager as soon as possible, normally not later than midday, stating the nature and probable duration of the sickness. Notification should normally be by a telephone call from the employee or by someone phoning on their behalf.

Frequency rate - shows the average number of absences per employee expressed as a percentage. Bradford Factor - measures the number of spells of absence and identifies persistent short-term absence.
It is important to know why an employee is sick, in case the cause could be work-related, or if reasonable adjustments are needed to help the employee return to work, as well as organise appropriate cover for the absence, if needed.
Your write up should include the employees attendance record. It should list all the dates the employee was tardy, absent or left early. If the employee has taken more time off than allowed in their benefits package, include this in the write up. You can usually request this information from your companys HR manager.
Your work excuse letter can be sent via paper or email. If you send an intra-office letter, you need to include the date and the contact information of your supervisor or HR manager at the beginning.
