Documents which are damaged because they are curled, dog eared, torn or patched cannot be transmitted. If you need to fax information in damaged documents you should make photocopies and put these through the machine.
When using Sensitive PII, keep it in an area where access is controlled and limited to persons with an official need to know. Avoid faxing Sensitive PII, if at all possible.
Is Fax More Secure than Email? Fax is more secure than email, in many regards. The main thing that can make fax more secure than email is the limited exposure to the internet and internet connected devices. Fax machines communicate through phone lines, which are harder to access than public internet connections.
(1) Only UNCLASSIFIED information (except as noted in paragraph d below) may be transmitted on standard fax machines. Classified information may be sent via fax only on specifically approved machines used in conjunction with an approved encryption/decryption device.
Fax security issues All fax transmissions use the Public Switched Telephone Network (PSTN) which ensures point-to-point transmission making it more secure than email. A sent fax is converted into base64 binary at its source, travels via PSTN and then is reassembled at on the recipients fax machine.
The destination fax needs to have the F-code function. When sending a confidential fax, you need to check the recipients Confidential User Box number and the password for confidential fax reception.
Yes, faxes are considered to be secure. One of the reasons for fax security as opposed to the security of other Internet or mobile-based communications is that fax machines communicate via phone lines, not the Internet.
Sending paper faxes using physical fax machines can lead to: Unauthorised document access in instances where paper is left on top of the fax tray. Accidental sharing of confidential data if a fax number is misdialed on the keypad. The risk of theft or manipulation of data by third parties.
