Instead of sending paper through the post the old employer submits the P45 information to HMRC electronically and gives an electronic or paper copy to the departing employee. The employee forwards a copy to the new employer to input the data into their payroll system and notify HMRC electronically.
Each employees file should include their: full name, address and contact details. emergency contact details. a signed copy of their employment contract. tax details. preferred payment method and details, for example internet banking. any other important information about them.
Is a starter checklist mandatory? If your new employee doesnt have a recent P45 then they must complete a starter checklist. This will allow you, as their employer, to add them to the payroll and determine the correct tax code.
If you have no P45, perhaps because you were on a career break or self-employed before you started employment, then the employer should use a Starter Checklist to work out what tax code to use. (Under RTI, the Starter Checklist replaces form P46).
Even if you do have a P45, you can also complete the starter checklist to tell your new employer about your student loan position the P45 only indicates whether a new employee is already repaying a student loan.
Youll need to tell your new employer about things like other jobs you have, any benefits you get and if you have a student loan. Theyll ask you to either fill in a starter checklist or give the information in another way.
If you do not have a P45 from your previous employer, your new employer will calculate your new tax code based on your answer to the questions on the starter checklist employee statement.
