Id just like to show you guys a quick and easy way to hide social security numbers when youre working with a document. There may be time when the Social Security Number is actually helpful and you just want to leave the last four numbers. So were going to act like youre provide with this list and you are going to change it over to this list on the right. Well start from scratch. Take you list here. You can leave it for now. Make a new column. Well just call this masked. Since youre masking the SSNs. You want to use a function called CONCAT. Which means to join things together. Were going to concatenate first. the last four numbers here with some dummy characters to begin with. Were going to start the function with an = sign. Start typing CONCATENATE and Google Docs will tell you will suggest which one to use. We just want to use CONCAT. The first values going to be a string. Type the formula =SUBSTITUTE(Cell1,-,) into the fx text box. You can replace the Cell1 section with the name of the cell you want to delete dashes from and press the enter button on your keyboard. Excel provides special number formats for postal codes, Social Security numbers, and phone numbers. If these dont meet your needs, you can create and apply your own custom number format.
If you wish to mask data for privacy reasons, you can represent the data by a series of hashes or other symbols. Consider the following list of names and phone numbers. Say you want to mask the phone numbers so passersby cant see them. Highlight the phone number data cells, and then in the Ribbon, go to Home Number.
If the SSN is entered with its dashes (as in 278-53-6128), then Excel stores it as text. If the SSN is entered without dashes (as in 278536128), then Excel stores it as a number. As you can surmise from this example, custom formats dont allow you to mask out anything except the last portion of any value.
To do this, create a new column containing the formula =*** - ** - RIGHT(B2,4), to insert asterisks and dashes along with the last four digits of each employees Social Security number, as illustrated in column C below. Once completed, you could then hide column B and print the desired report.
Select the cell or range of cells that you want to format. Press Ctrl+1 to load the Format Cells dialog. Select the Number tab, then in the Category list, click Custom and then, in the Type box, type the number format, such as 000-00-0000 for a social security number code, or 00000 for a five-digit postal code.
Click the corner of the cell, with the + sign still showing, and drag the cursor down through the column until you docHub the cell to the right of the last Social Security number in the list. Release the cursor, and the remaining SSNs will appear without hyphens.
Display Social Security numbers in full Or, select Number Format More Number Formats. In the Category box, select Special. In the Type list, choose Social Security Number.
Whether the digits in your cell are formatted as text, numbers, or the special Social Security number format, you can use the same functions. To display only the last four digits of identification numbers, use the CONCATENATE, RIGHT, and REPT functions.
