A quotation is a fixed price offer that cant be changed once accepted by the customer. You must adhere to the quotation price even if you carry out more work than you expected. If you think this is likely to happen, it makes more sense to give an estimate.
Your estimate should include a line-by-line description of the work you expect to perform if your client accepts your estimate. Be clear and include all work the client has asked you to do for the completed project. Add in any materials you need to purchase and the number of items you expect to use.
The standard operating procedure for change orders is typically where you prepare a document with a small scope of work of the additional work to be performed, a total amount, and supporting back up information to prove why you are charging this amount. Its kind of like a mini-estimate for the work to be performed.
Include a disclaimer stating clearly that the estimates price is subject to change. Agree in advance how any variations will be costed. These can arise if the client changes their requirements or if a job turns out to be more complicated than expected.
A contractors estimate should include: Itemized costs of materials. All labor costs. Costs of hiring any subcontractors. Estimated total before taxes and fees. Taxes and fees. Profit and overhead.
What is a Change Order? Change order is just the industry term for an amendment to a construction contract that changes the contractors scope of work.
