Between 1940 and 1960, the amount of mail doubled in The United States. Thats largely because companies began using computers to send automated mailings. Soon, the flood of mail sent by banks, advertisers, and other businesses was overwhelming postal workers. The Postal Service needed a solution. In 1963, the Zone Improvement Plan divided the country into ten regions and assigned five digits increasing in specificity, from region, to large sorting centers, to smaller post offices. Where previously mail workers had to figure out which post office went with which address, now the zip code provided that information for them. Right-click and select Format Cells. Select the Number tab. Select the Special category. Select Type: Zip Code.
It is preferred that all City, State, and ZIP Code information be on a single line. If that is not possible, the ZIP Code, including the ZIP+4 Code, may be placed below the city/state information. However, when compressing line #11, do not remove the hyphen between the ZIP Code and the ZIP+4 add-on code.
The correct format for a numeric ZIP+4 code is five digits, a hyphen, and four digits. The first five digits represent the 5-digit ZIP Code; the sixth and seventh digits (the first two after the hyphen) identify an area known as a sector; the eighth and ninth digits identify a smaller area known as a segment.

Create a custom postal code format Select the cell or range of cells that you want to format. On the Home tab, next to General, in the Number Format box. In the Format Cells dialog box, under Category, click Custom. In the Type list, select the number format that you want to customize.
