A truncated SSN is the last four digits of an SSN. It is considered sensitive Personally Identifiable Information (PII), both stand-alone and when associated with any other identifiable information. Secure methods must be employed if needing to electronically transmit a truncated SSN.
Emails Containing PII (in the body or in an attachment): The SUBJECT line must state: CUI . The attachment file name must state: CUI . The top and bottom of the email and the top and bottom of the attachment must state: CUI and include a CUI indicator block. Must be digitally signed and encrypted.
CUI Markings for Emails containing PII Subject line will be marked CUI:. Banner (i.e., header) and footer of email body will be marked CUI. A CUI Designation Indicator Block will be added at the bottom of the email body (within the banner and footer CUI markings, to the right if possible.
Personal identification numbers: social security number (SSN), passport number, drivers license number, taxpayer identification number, patient identification number, financial account number, or credit card number. Is it safe to send PII via email? No, you should never send PII over email. However, if you must send PII over email, it needs to be encrypted and certain security protocols must be met to ensure that if its intercepted, the PII wont be readable.
PII can typically include obvious contact data and identifiable data such as the persons full name, phone number, passport number, home address, social security number, drivers license number, email address and other digital data like IP address, geolocation.
Recipient external to EMU: Where possible, the file/document containing the PII should be password protected. The sender should send two emails to the recipient: one with the password protected file attached; the other with the password to be used to access the file. Do not send both items in a single email.
